I received a booking request — what should I do?

My booking requests

If your schedule is not directly connected to our system, you will receive booking requests from EGYM Wellpass users who would like to book a session at your venue.

How do I receive these requests?

You will be notified in two ways:

  • By email, with the details of the request

  • On your partner dashboard, where the request appears with the status “Pending request” and the requested time slot

How do I agree on a time slot?

  • If your schedule is available online (on your website, on Planity, etc.)
    The user has already checked the available time slots before submitting a request. They then send their request directly through EGYM Wellpass.

  • If your schedule is not available online
    The user will contact you directly by phone or email to ask about available time slots before submitting their request via EGYM Wellpass.

How do I accept or decline a request?

  • If the request works for you:

  1. Log in to your partner dashboard

  2. Click on the request with the status “Pending request”

  3. In the window that opens, click “Accept request”

  4. The user will automatically receive a confirmation.

  • If the request does not work for you:

  1. Click “Decline request”

  2. The user will automatically be notified of the refusal

  3. Tip: You can contact the user by email to suggest another time slot and encourage them to submit a new request.

Tip: Filter your requests by the status “Pending request” to quickly see all bookings that require your approval.

On the day of the appointment

If the user has activated notifications, they will receive a reminder before the session. Their pass will be automatically validated and will appear with the status “Used” on your partner dashboard.
